How to Use the Manawa Back Office to Manage Your Activities

This article walks you through everything you can do from your Manawa Partner Space, with step-by-step instructions and practical tips, whether you're managing your bookings from the office or out in the field.

What is the Manawa Partner Space?

Your Partner Space (or Back Office) is your personal dashboard to manage everything on Manawa: activities, bookings, invoices, customer reviews, availability, administrative documents, and more.
It’s a simple and complete tool designed to help you save time, reduce errors, and boost your sales.

You can access it via backoffice.manawa.com.

🔑 Logging into Your Partner Space

To access your Back Office, go to backoffice.manawa.com.

  • Your login is the email address where you receive all official Manawa communications.
  • If you forgot your password, simply click “Forgot password” on the login page.
  • You'll receive a reset link by email.

What Can You Do in Your Partner Space?

Track and manage your bookings

In the Bookings section, you’ll see all your past, upcoming or custom bookings. You can filter by date, download a CSV, or click on each booking to view its details (participants, status, comments, etc.).

You can also accept or comment on requests, reschedule activities, or confirm/refund bookings, depending on the case.

View customer reviews

In the Reviews section, you can read your client feedback, rated out of 5 stars with comments. It’s a great tool to improve your service and stay responsive to customer experience.

Access invoices and payments

The Invoices tab includes all your monthly statements. You can download them as PDFs and view payment details, a clear overview for your accounting.

Add or update an activity

In Add your activities, you can suggest a new activity (location, type, level, equipment provided, etc.). Once submitted, the Manawa team will review and optimize it to our standards, and either publish it or contact you if we need additional information.

Update your admin documents

In Admin & payments, you can upload your latest legal documents (insurance, certifications, company registration, etc.) and your bank details, securely. All files are reviewed by the Manawa team.

📆 NEW – Manage Your Availability and Prices (from December 1st, 2025)

You now have full control over your pricing and availability directly in your Partner Space.

This feature doesn’t apply if your reservation system is already connected to Manawa via API.

With this new tool, you can update:

  • your seasons and opening hours,
  • your closures and stock levels,
  • participant categories,
  • prices and special offers.

Tips for Making the Most of Your Back Office

Use the Back Office as a Mobile App 📱

The Manawa Back Office is mobile-friendly. You can save it to your home screen for faster access:

On Android

  1. Open backoffice.manawa.com in Chrome.
  2. Tap the three dots at the top right
  3. Select “Add to Home screen”
  4. Name the shortcut (e.g. “Manawa BO”) and confirm

On iPhone

  1. Open backoffice.manawa.com in Safari.
  2. Tap the Share icon (square + arrow)
  3. Select “Add to Home Screen”
  4. Confirm, the back office now appears like an app

Accepting or Rescheduling a Booking Request

When you receive a booking request, you can respond in two ways:

  • Directly via the email or SMS notification
  • Or by logging into your Partner Space and opening the Bookings tab

Inside the booking, you’ll see three options: Accept, Reschedule, or Refuse

  • Accept: confirms the booking immediately and reveals customer contact details.
  • Reschedule: propose 2+ alternative dates. The client receives the options via email and SMS.
    • If they accept within the time limit (3–24 hours depending on the activity date), the booking is auto-confirmed.
    • If they decline or don’t respond, the request is passed to our support team for manual follow-up.
  • Refuse: add a comment for the Manawa team (e.g. suggest a different activity, mention an issue). The client won’t see this message — our team handles the communication.

💡 Tip: Use the “Refuse” button with a comment to flag specific situations or offer alternatives.

Requesting a Refund (for supplier cancellations)

If you cancel an activity and need to refund your client, you can do it directly in the Back Office:

  1. Log in to backoffice.manawa.com
  2. Go to Bookings
  3. Open the FINISHED (or ALL) tab
  4. Select the booking
  5. Click “Refund the customer”

A notification is sent to Manawa immediately, and we will cancel and refund the booking.

⚠️ Important: this refund is full and automatic. You won’t be able to reverse it.
For partial refunds, client disputes, or special cases, please contact [email protected] first.

Responding to a Client-Initiated Refund Request

If a client asks to cancel, you’ll receive:

  • an email notification
  • an alert in your back office

You’ll see all relevant details and a button to approve or reject the refund.

⚠️ Important: if you approve, the refund is processed automatically.
If you’re unsure, email [email protected] for guidance before taking action.

Managing Your Availability & Prices

⚠️ All changes take effect immediately.

Two tabs to handle with care:

These tabs control your Manawa page visibility. Errors here may hide your activities:

  • Seasons: set opening dates, days of operation, hours, and seasonal pricing.
  • Price categories: define participant types (adult, child, group, etc.)

Take your time. Need help? We’ve got you.

Three tabs that are easy to use:

  • Exceptional Closures & Stock: block off dates or slots directly in the calendar.
  • Price Sheet: update your pricing at the start or end of the season.
    • Note: Your prices on Manawa must match your direct prices. If not, we may deactivate this feature or pause your partnership.
  • Special Offers: launch limited-time discounts to boost bookings.
