Master your Manawa Back Office to boost your business

What if your back office became your best ally for saving time and filling your schedule with Manawa customers? Booking management, scheduling, one-off promos... We explain how to turn this tool into a real growth engine for your season.

If you haven't logged in to your account yet, you can find all the essential information here: How to use the Manawa back office.

Dashboard: Your bird's-eye view

This is your daily entry point for steering your activity.

  • Immediate overview: Find your pending bookings, new reviews, and your list of products.
  • Product status: Instantly see which activities are online or offline.
  • The "View" habit: Click the "View" button to see your activity page exactly as a customer sees it on Manawa. It’s perfect for checking how your photos and descriptions look.

The Bookings tab: Manage your flow

This is where you manage your customers and transactions.

  • Customer details: Access names, phone numbers, emails, and specific info like weight, languages spoken, or dietary requirements.
  • Simplified refunds: In case of a cancellation (weather, etc.), the "Refund customer" button allows an immediate full refund. For a partial refund, contact our support team at [email protected].
  • CSV Export: At any time, export your database in Excel format for your accounting or your own CRM.

The Activities tab: Set up your offer

This is the engine of your Manawa shop. Each activity can have several options (e.g. 2h, half-day, 3-day course).

Operating Schedule (Seasons)

  • Smart seasons: You can create a single season for the whole year to allow customers to plan ahead and book very early.
  • Watch out for bugs: The system does not allow two seasons to overlap on the same dates. If you get a "Technical issue" error, check your existing periods or write to us at [email protected].

Participants and Pricing

  • Fixed vs Variable Price: Use the "Variable" price for a rate per person (e.g. £65/pp). Use the "Fixed" price for a private group booking (e.g. £500 for 1 to 6 people).
  • Categories: If you have a single rate, stay with the "Participant" category to simplify the customer's buying journey.
  • Tiered pricing: You can adjust your rates based on the number of people (e.g. £65 for 1 person, then £62 from 3 people onwards).
  • Price parity: A quick but important reminder: you must always offer the same prices on Manawa as you do directly. For the sake of the customer experience, you cannot sell for a higher price than your direct rate.

Exceptional Closures and Stock Management

  • Precise modulation: You can close a period, block a full date, or set a limit of "only X places left" for a specific time slot.
  • Marketing Impact: Remember to notify the Manawa team if you close important periods. An activity with no availability is considered less "profitable" by the algorithm and will therefore be marketed less.

Sales Strategies: Stock and Promotions

The back office is also a powerful marketing tool.

  • The orange "Limited availability" badge: In "Manage closure and stock", if you manually limit a slot to fewer than 5 places, an orange badge appears on the site. This creates a sense of urgency that boosts conversion.
  • Special offers: Set up promotions (e.g. -10% on Mondays in June) to fill your quieter slots. Plan them 4 to 5 days in advance for maximum marketing impact.

Public Profile: Building trust

Don't overlook the "Public profile" tab.

  • Transparency: Customers increasingly check the "Organised by..." page to verify your labels, your facilities, and your team's experience.
  • Clarity: Clearly state what is included (equipment, lunch) to avoid any nasty surprises on the day.

Pro Tips from Vincent

  • Play with exceptional closures to keep your schedules up to date without deleting everything.
  • Try promos on existing groups to see the impact on final filling.
  • Open your calendars as early as possible to catch customers who plan ahead.
  • Put all your offers online: every outdoor or adventure activity brings visibility to the others on Manawa.
  • Ask us for advice: we are always happy to share our recommendations to optimise your pages!
